Case Study: Staffing a Kids Science Fair Across Dubai Community Events

When a client needed a partner to bring a series of community events to life across a Dubai Holdings community, they came to Guild & Craft. The brief was ambitious: turn eight separate event days into a hands-on Kids Science Fair that would entertain and educate a young audience — safely, reliably, and at scale.

Over September and October 2026 we staffed and ran all eight events, each drawing between 500 and 1,000 guests, around 60% of them children. Here is how we did it.

The brief

Community events live or die on the ground. Families arrive expecting a full day out, and everything has to work at once — the activities, the show, the food, the flow of the crowd. Our client needed a single staffing partner who could own the whole guest experience across multiple segments, on repeat, across eight event days.

The theme was science made fun. The goal was for every child to leave having learned something without ever realising it was a lesson.

What we delivered

For each event we deployed a team of 20 trained staff across six coordinated segments:

• STEM activity stations — hands-on stations where children explore science by doing. Our trained facilitators ran robotics, chemistry, engineering, maths, space exploration, biology and physics activities, each designed to make a complex idea click through play.
• Stage entertainment — a live science show on the main stage to gather the crowd and land the "wow" moments, plus a roaming astronaut mascot that became a favourite photo opportunity for families.
• Science games — dedicated games staff running three interactive science games that kept queues moving and energy high.
• Science art and craft — craft facilitators guiding children through science-themed art and craft projects they could take home.
• Face painting — professional face painters turning children into planets, robots and everything in between.
• Food and beverage — a full F&B team managing the entire food and beverage section so families could refuel without leaving the fun.

Why it worked

Running the same high standard across eight events is a logistics challenge, not just a staffing one. Three things made the difference:

• One partner, every segment. Because Guild & Craft supplied and coordinated all six segments, the client had a single point of contact instead of juggling half a dozen vendors — and the segments actually worked together on the day.
• Staff trained for children. Working with a young audience is a specific skill. Our facilitators were briefed to teach through play, manage safety, and keep hundreds of excited kids engaged for hours.
• Repeatable delivery. What we built for the first event we could dependably reproduce for the next seven, so quality never dropped as the season went on.

The bigger picture

The Kids Science Fair is one chapter in a much larger programme. Across 2026, Guild & Craft is managing around 30 community events with our staffing service, each running with 15 to 30 staff.
